This email is a friendly reminder to let you know that we are still missing with essential information of some of the incoming club officers for 2010-11 (President, Secretary & Executive Secretary) in your district.

Clubs who have not submitted this data will miss important mailings throughout the next Rotary year, including Semi-Annual Reports, Foundation Reports, etc. Furthermore, they will not be able to update their membership or view reports online in Member Access.

For your easy reference, a list of clubs which have not yet submitted the above mentioned information is attached below. (Some clubs that recently sent club officer information to RI may not yet be entered into the system).
The mark (X) indicates non receipt of the information. You can also view the latest updates on incoming club officers of your district by clicking on “View Incoming officers” in the menu in green on the left hand side of the Member Access Portal on the RI website.

Please inform the clubs that incoming club officers can be reported to RI in several ways:

Preferred method:

• Member Access: http://www.rotary.org/en/selfservice/Pages/login.aspx

Click on “Update Club Data” (see instructions attached 1-MAP-Registration and 3-MAP-Updating-club-data on how to register and how to update club data)

Alternate methods:

• Type, print, scan and e-mail the Official Directory Data Form to Data Services at data@rotary.org. The OD Data Form can be downloaded by clicking on the following link: Official Directory data form
• Type, print and fax the Official Directory Data Form to Data Services – Fax No.: +1-847-733-9340

It would be appreciated if you could follow up with the appropriate clubs. We will do our best to include information received before 15th March in the Official Directory. However, even if the information is received late, it will still be useful for updating the RI database.
